Here you can read which data B.J. Events B.V. uses when you visit our website, contact us or are a client. Do you work for us, or do you use our workspace, the client portal or the apps BJ Scan and BJ Crew? Then read the privacy statement of the workspace.
Who are we?
B.J. Events B.V., Stationsplein 20, 6081 AJ Haelen, the Netherlands (Chamber of Commerce 12059626, VAT NL818159807B01, bj.events). Questions about privacy: privacy@bj.events.
What data do we use, and why?
When you visit our website
Per day we count how often each page was viewed and how often the call and email buttons, among others, were clicked, without anything by which we could recognise you. To limit abuse we briefly keep your IP address, as an encrypted code that cannot be traced back. The web server keeps technical log files (IP address, time, page, browser).
Why and on what legal basis? Our legitimate interest in seeing which information visitors use, securing the website and tracing faults.
When you contact us
Our website has no forms. If you email or call us, we use your name, email address, phone number and message to answer your question. If it leads to a quote or assignment, they become part of our client records.
On what legal basis? Our legitimate interest in answering questions, or preparing an agreement.
When you are a client
For clients and their contact persons we record: name, address, email address, phone number, business or private individual, for a business the VAT and Chamber of Commerce numbers and a contact person, notes, and invoicing arrangements (such as invoice address, invoice email, payment term and language). A quote or invoice also contains what we supply with amounts and VAT, and your reference if any.
Why? To plan and carry out projects and events for you, communicate with you, prepare quotes and invoices and keep our accounts.
On what legal basis? Preparing and performing the agreement; our legitimate interest in business communication if you are a contact person of a business; and the legal obligation to keep our accounts.
Clients we share with Jansen Groen B.V.
B.J. Events and Jansen Groen B.V. (Stationsplein 18A, Haelen) use one client register, so that a client is not recorded twice or with conflicting details. Of a client of the other company, a company only sees the name, the town and which company they are a client of, also for a private individual. Only when it actually uses the client, for example for a quote, does it receive the details needed for that, such as address, email and phone. Quotes, invoices and amounts are not visible to the other company.
On what legal basis? The legitimate interest of both companies in preventing duplicate and conflicting records. Both are jointly responsible for this, under written arrangements. You can contact either company; the one you contact handles it.
Do you have to give us data?
Not for the website. For a quote, assignment or invoice we need your name and address; without them we cannot prepare it.
Where does your data come from?
Usually from you. If you are a contact person of a client, we often receive your name and business contact details from your employer. If you are a client of Jansen Groen, we may also take your details from the shared client register (see above).
Who do we share it with?
We do not sell data. Quotes and invoices go to you, optionally as a copy to our own accounts department, and to our bookkeeper for the annual accounts and tax returns. We also work with these service providers, with data processing agreements:
- hosting of the server, database and website in the European Union (GoDaddy/Host Europe);
- Microsoft 365, for email and backups (encrypted only);
- Google, as address search: only the search text, not your name or other details;
- Exact, our accounting software: only the invoice and, if chosen, the e-invoice.
The assistant in our workspace (Nova) receives no client data. Otherwise we only share data when the law requires it.
On the contact page, a Google Maps map only loads when you click "Show map"; Google then receives your IP address and may use its own cookies (policies.google.com/privacy). The link to Instagram only opens when you click it.
Does your data leave Europe?
Our server is in the EU and Microsoft has committed to storage and processing within the EU and EFTA. Service providers may, however, use sub-processors outside the European Economic Area for some components, such as Google in the United States; the legal safeguards apply there, such as the European standard contractual clauses.
How long do we keep it?
- Client details, projects and quotes: as long as the client relationship lasts, then as briefly as possible.
- Invoices and the copy of a quote or invoice email in our sent items: seven years after the end of the financial year, as the law requires. During that time we cannot delete a client with invoices.
- Sent email in the workspace: content 30 days, address, subject and time at most one year.
- Your emails and messages: as long as needed to handle your question.
- Website: the encrypted IP code at most twenty minutes, log files about two months.
Does a computer decide about you?
No. Decisions about clients are made by people.
Cookies?
Our website itself places no cookies and the font is hosted on our own server. No advertising, no tracking cookies, no third-party analytics. Only the Google Maps map can, after your click, place Google cookies.
How do we secure your data?
Connections and backups outside the server are encrypted. Anyone with access to client data has their own account and only sees what belongs to their task; people who prepare quotes and invoices or manage the workspace use two-step verification. Nobody can promise complete security; we take appropriate measures and keep them up to date.
What are your rights?
You may access your data, have it corrected and have it deleted (except what we must keep by law, such as invoices). You may also ask us to restrict its use, object, and have your data transferred. Email privacy@bj.events; you will receive an answer within one month. We do not ask for a copy of your ID.
If you disagree with how we handle your data, please let us know first. You can also file a complaint with the Dutch Data Protection Authority (autoriteitpersoonsgegevens.nl).
Will this statement change?
If anything material changes, we update this statement and show the new date.
